1. Who we are

2. Data we collect

• Account details. Name, email address, phone number and role, so we can create your account and manage access for your team.
• Trip and client data you enter. Client records, itineraries, quotes, notes, images and traveller details such as passports, dietary needs and insurance information.
• Usage data. When you sign in, which parts of the platform you use, and technical details such as browser type, so we can keep the service secure and improve it.

3. Your clients' data

You and your business are responsible for the personal data you record about your clients and travellers - we process it on your behalf to run the service for you. That means you control what is collected and how it is used with your clients, and we only process it to provide Qtango, to secure it, and as you direct. We do not use your client data to advertise to anyone, and we do not sell it.

4. How we use data

• Provide the platform, including itineraries, quotes, proposals, the client app and notifications.
• Support your business, including answering questions you send to sales@vamoos.com.
• Keep the service secure, prevent misuse and fix problems.
• Understand how the platform is used at an aggregate level so we can improve it.

5. Where data is stored

Your data is hosted in data centres in the United Kingdom and European Union. If we ever need to transfer data outside those regions, we use contractual safeguards that meet UK GDPR requirements.

6. Sharing

We share data only with the suppliers that help us run Qtango, such as hosting, email delivery and payment processing, and only where they are bound by contract to protect it. We may also share data where the law requires it. When you share a proposal with a client, they receive exactly what you choose to send them.

7. Retention

We keep your data while your subscription is active. When it ends, we delete it in line with our retention policy unless we are legally required to keep it for longer.

8. Security

Data is encrypted in transit and at rest, access is controlled per user, and we review our security arrangements regularly. No system is completely secure, so please tell us quickly if you spot anything suspicious.

9. Your rights

Depending on where you are, you have rights over your personal data, including access, correction, deletion, restriction and portability. If you use Qtango for a business, your clients can exercise these rights by contacting you, and you can make the changes in the platform or ask us for help.

10. Cookies

We use essential cookies to keep you signed in and remember preferences such as your chosen currency. We do not use advertising cookies.

11. Changes to this policy

We may update this policy as the platform evolves. If a change is significant, we will tell you before it takes effect.
